Position Overview:
The Administrative Assistant will provide day-to-day administrative and clerical support to ensure smooth operations of the office and enable business functions to run efficiently. This role will support managers and teams with scheduling, communications, document preparation, data entry, and basic office coordination. The successful candidate will be organized, detail-oriented, and able to handle multiple tasks while maintaining a professional, customer-focused demeanor.
Key Responsibilities
1. Office and Reception Support

Greet visitors, manage phone lines, respond to general inquiries, and direct callers or guests to the appropriate personnel.

Maintain a professional and welcoming office environment, manage meeting room bookings, and ensure common areas are orderly.

Handle incoming and outgoing mail and courier coordination.
2. Administrative and Clerical Tasks

Prepare, format, and proofread documents, presentations, and correspondence for internal and external use.

Maintain accurate physical and electronic filing systems, ensuring documents are easy to retrieve and stored in accordance with company guidelines.

Perform data entry, maintain spreadsheets, and update basic databases and contact lists.
3. Scheduling and Calendar Management

Coordinate and manage calendars for managers and teams, schedule meetings, prepare agendas, and distribute meeting materials.

Arrange travel logistics and accommodation when required, and prepare basic travel expense summaries.
4. Coordination and Liaison

Act as a point of contact between internal teams and external vendors or partners for routine requests and administrative matters.

Assist with onboarding logistics for new hires, including preparation of workstations, equipment requests, and basic orientation support.
5. Office Supplies and Vendor Management

Monitor and reorder office supplies, manage relationships with suppliers, and ensure cost-effective procurement of routine items.

Coordinate basic maintenance requests and liaise with building management as needed.
6. Continuous Improvement

Identify opportunities to streamline administrative processes, propose improvements, and support implementation of more efficient workflows.

Support ad hoc projects and cross-functional initiatives as assigned by management.
Qualification
-
Bachelor’s degree or equivalent experience preferred.

At least 1 year of administrative, office support, or receptionist experience; experience in a fast-paced office environment is an advantage.

Strong organizational skills with attention to detail, dependability, and a proactive attitude.

Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning new office software tools.

Good written and verbal communication skills in English; proficiency in local languages is a plus depending on location.

Professional presentation, strong interpersonal skills, and the ability to maintain confidentiality.
