Position Overview
The Administrative Assistant will provide high-level, cross-functional administrative and clerical support on a fully remote, 40-hour-per-week basis. This specialized role features a strict split-week schedule dedicated entirely to supporting two critical regional arms:
3 Days per week: Dedicated support to the global Academy training division (including cross-border support for employees in the US, Canada, and various global markets).
2 Days per week: Direct administrative assistance to the Managing Partner for Southeast Asia (based in Singapore).

Key Responsibilities
1. Managing Partner Support (2 Days / Week)
Proactive Calendar Management: Own and drive calendar alignment for the Managing Partner for Southeast Asia, masterfully handling complex, multi-timezone cross-border scheduling and prioritizing agendas ahead of time.
End-to-End Travel Coordination: Manage complex regional travel arrangements, including flight bookings, hotel accommodations, visa requirements, and detailed, foolproof itineraries.
Expense & Billing Support: Take full responsibility for executive expense management, including meticulous receipt sorting, expense report preparation, and basic billing/invoice processing.
Cross-Border Employee Support: Assist regional teams by providing administrative support to employees stationed across Cambodia, Malaysia, Thailand, Singapore, and various global markets.
2. Academy Team & Regional Operations Support (3 Days / Week)
Training Coordination: Assist the Academy team with scheduling, tracking, and coordinating global training programs and learning modules.
Resource Management: Prepare, format, and organize training materials, presentations, and digital resource kits.
Virtual Events: Manage logistics for virtual training events, including digital room setups, calendar invitations, and attendee coordination.
3. Comprehensive Office Administration & Workflow Management
Execute all day-to-day administrative and clerical tasks with high precision and efficiency to streamline cross-team operations in a remote setup.
Oversee document control, data entry, and records management, ensuring strict confidentiality of sensitive corporate and client information.
Draft, proofread, and format professional correspondence, reports, and internal communications.
Qualifications & Job Requirements
Education & Background
Bachelor’s degree in Business Administration, Communications, International Relations, or a related field is preferred.
Minimum 3–5 years of experience in an Executive Assistant, Secretary, or high-level administrative role within a multinational environment, BPO, or premium professional services firm.
Technical Skills & Communication
Command of the English Language: Exceptional verbal and written English communication skills are mandatory; must exhibit a polished professional image and elite corporate etiquette.
Outstanding organizational and calendar management skills, with proven experience handling multi-time zone scheduling across Cambodia, Malaysia, Thailand, Singapore, and various global markets.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and collaboration tools (MS Teams, Zoom).
Must have a dedicated, reliable home office setup with high-speed internet suitable for full-time remote corporate work.
