Position Overview
We are seeking a detail-oriented and proactive HR Administrator with demonstrated expertise in onboarding and solid knowledge of Philippine labor laws. The HR Admin will manage end-to-end onboarding, maintain HR records, ensure legal and policy compliance, and provide day-to-day HR operational support for employees and hiring managers. The role requires strong coordination skills, confidentiality, and the ability to work across multiple stakeholders in a fast-paced environment.
Duties and Responsibilities:
Onboarding and New Hire Management: Manage the full onboarding lifecycle including offer letters, pre-employment requirements, background checks coordination, new hire orientation, equipment provisioning, account setup, and initial HR briefings.
Philippine Labor Law Compliance: Ensure HR processes and practices comply with Philippine labor laws and statutory requirements (e.g., DOLE, SSS, PhilHealth, Pag-IBIG, BIR). Prepare documentation to support audits and regulatory inquiries.
HR Administration & Records: Maintain accurate and confidential HR records, employee files, and onboarding checklists. Update HRIS and other systems with new hire information, changes in employment status, and termination data.
Payroll & Benefits Coordination: Collaborate with payroll and benefits teams to ensure timely submission of new hire data, statutory contributions, leaves, and other payroll-related inputs.
Policies & Procedures: Assist in drafting, implementing, and communicating HR policies and standard operating procedures in accordance with local law and company guidelines.
Employee Relations Support: Serve as a point of contact for routine employee queries on onboarding, benefits, statutory contributions, and HR processes. Escalate complex employee relations or disciplinary matters to HR Business Partners as needed.
Reporting & Metrics: Prepare regular onboarding and HR operational reports (headcount, new hire metrics, onboarding completion rates, statutory compliance status) to support HR decision-making.
Continuous Improvement: Identify and implement process improvements to streamline onboarding workflows, reduce time-to-productivity, and enhance the new hire experience.
Cross-functional Coordination: Work closely with Talent Acquisition, IT, Facilities, Finance, and Hiring Managers to ensure a seamless onboarding experience and timely provision of resources.
Qualifications and Must Have:
Bachelor’s degree in Human Resources, Business Administration, Psychology, or related field.
2–4 years of HR administration experience with strong emphasis on onboarding and HR operations.
Solid working knowledge of Philippine labor laws and statutory processes (SSS, PhilHealth, Pag-IBIG, BIR, DOLE).
Hands-on experience with HRIS systems, applicant tracking systems, and MS Office (Excel, Word).
Excellent communication and interpersonal skills; able to interact professionally with employees at all levels.
High level of confidentiality, attention to detail, and strong organizational skills.
Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
Experience coordinating statutory filings, payroll inputs, or benefits administration is preferred.
HR certification (e.g., CHRP) is an advantage.
Fluency in English and Tagalog is preferred.
Location: Onsite or hybrid arrangements will be considered; local candidates or those with legal work status in the Philippines preferred.
