Position Overview
We are seeking a detail-oriented and trusted Payroll Specialist to support accurate and timely payroll processing. The Payroll Specialist will ensure correct computation of wages, statutory contributions, deductions, and benefits; coordinate with HR and Finance to validate payroll inputs; and maintain compliant, audit-ready payroll records. The role requires strong accuracy, confidentiality, and the ability to manage payroll cycles and deadlines in a fast-paced environment.
Duties and Responsibilities:
Payroll Processing: Process end-to-end payroll for assigned employee groups, ensuring correct pay calculations, adjustments, overtime, allowances, and deductions.
Statutory Contributions Compliance: Ensure accurate computation and reporting of mandatory contributions (e.g., SSS, PhilHealth, Pag-IBIG) based on current regulations. Support preparation and submission of required reports.
Leave and Timekeeping Inputs: Validate leave balances, timekeeping records, and other payroll-impacting data. Coordinate with HR to ensure timely and accurate payroll inputs.
Benefits and Deductions Coordination: Coordinate with relevant teams to manage benefits enrollment and payroll deductions, ensuring correct updates for new hires, status changes, and terminations.
Employee Payroll Queries: Respond to routine employee questions related to payroll, deductions, and statutory contributions, escalating complex concerns as needed.
Data Integrity & Records Management: Maintain accurate, confidential payroll documentation and payroll audit trails. Ensure payroll files and supporting documents are complete and up to date.
Reporting & Reconciliations: Prepare payroll and statutory reports and perform reconciliations between payroll outputs and internal records to ensure consistency.
Continuous Improvement: Identify opportunities to improve payroll workflows, reduce errors, and enhance turnaround time and processing accuracy.
Cross-functional Coordination: Work closely with HR, Finance, and other stakeholders to ensure timely receipt of payroll inputs and alignment on payroll calendars and cut-off dates.
Qualifications and Must Have:
Bachelor’s degree in Accountancy, Business Administration, Finance, Human Resources, or related field.
2–4 years of payroll or HR operations experience with strong emphasis on payroll processing and statutory contributions.
Solid working knowledge of Philippine payroll processes, statutory requirements, and compliance (e.g., SSS, PhilHealth, Pag-IBIG, BIR, DOLE where applicable).
Hands-on experience using payroll tools/HRIS and strong proficiency with MS Office (especially Excel) for calculations, reporting, and reconciliation.
Strong attention to detail with the ability to ensure accuracy and consistency across payroll runs.
Excellent communication and professionalism; able to coordinate effectively with employees and internal teams.
High level of confidentiality and integrity when handling sensitive payroll and employee information.
Ability to manage multiple priorities, meet tight deadlines, and work effectively in a fast-paced environment.
Experience preparing statutory-related reports and supporting payroll audits is preferred.
Payroll certifications or relevant training (e.g., CHRP or other payroll-related credentials) are an advantage.
Fluency in English and Tagalog is preferred.
Location: Onsite or hybrid arrangements will be considered; local candidates or those with legal work status in the Philippines preferred.
