Position Overview
The Payroll Specialist is responsible for the end-to-end payroll administration of employees engaged under Employer of Record (EOR) arrangements across multiple clients and jurisdictions. The role ensures accurate and timely payroll processing, compliance with local labor laws and statutory requirements, employee support, and coordination with clients, government agencies, and internal stakeholders.
Payroll Specialist Responsibilities -
Payroll Business Partner Support
Payroll Administration
• Process payroll accurately and on schedule for employees
under various client accounts.
• Administer and maintain employee timekeeping records,
attendance data, work schedules, and leave transactions.
• Review and validate timesheets, attendance reports,
overtime, undertime, holiday pay, night differential, and
leave records prior to payroll processing.
• Coordinate with employees, managers, and clients regarding
attendance discrepancies and payroll-related adjustments.
• Review payroll inputs including new hires, salary
adjustments, allowances, bonuses, commissions, leave
records, and final pay computations.
• Validate payroll data to ensure accuracy, completeness, and
compliance with client agreements.
• Generate payroll reports, payslips, and payroll summaries for
clients and internal stakeholders.
Employer of Record Operations
• Support payroll activities throughout the employee lifecycle,
including onboarding, employment changes, and offboarding.
• Ensure payroll practices align with client agreements, local
employment regulations, and EOR policies.
• Coordinate with clients regarding payroll inputs, employee
compensation, and payroll-related concerns.
• Maintain accurate employee records and payroll
documentation.
Statutory Compliance
• Calculate and process government-mandated contributions,
taxes, and other statutory deductions.
• Ensure timely filing and remittance of payroll-related
obligations.
• Monitor changes in labor laws, tax regulations, and statutory
requirements to ensure compliance.
• Support payroll audits and compliance reviews as required.
Employee Support
• Respond to employee inquiries regarding payroll, taxes,
statutory contributions, benefits, and final pay.
• Provide clear and professional explanations of payroll
calculations and deductions.
• Assist employees with payroll-related documentation and
government benefit concerns.
Final Pay and Offboarding
• Prepare final pay computations, including unpaid salaries,
leave conversions, statutory deductions, and other applicable
payments.
• Coordinate payroll requirements related to employee
separation, resignation, or termination.
• Ensure timely processing of final pay and statutory
obligations.
Reporting and Reconciliation
• Perform payroll reconciliations and validate payroll outputs
before release.
• Prepare payroll variance reports and client-specific payroll
summaries.
• Assist in month-end and year-end payroll activities, including
tax reporting and annualization.
Process Improvement
• Identify opportunities to improve payroll processes, controls,
and service delivery.
• Support payroll system enhancements, implementations, and
testing activities.
• Contribute to the continuous improvement of EOR payroll
operations and client experience.
Required Qualifications -
Education
• Bachelor's Degree in Human Resources, Psychology,
Business Administration, Accountancy, Finance, or related
field.
Experience
• 2–4 years of HR Generalist, HR Operations, Payroll, or
Compensation & Benefits experience.
• Experience handling Philippine payroll processing preferred.
• Experience in EOR, BPO, outsourcing, or multi-client
environments is an advantage.
Knowledge
• Philippine Labor Code.
• Payroll processing and payroll controls.
• Government statutory compliance (SSS, PhilHealth, Pag-IBIG,
BIR).
• HRIS and payroll systems.
• Compensation and benefits administration.
Skills
• Strong analytical and numerical skills.
• High attention to detail and accuracy.
