Position Overview
The Legal Compliance and Onboarding Officer is responsible for supporting the organization’s legal compliance, employee onboarding, documentation, and regulatory coordination processes. This role ensures that required records, agreements, policies, background checks, and onboarding activities are completed accurately, securely, and within established timelines.
The ideal candidate is highly organized, detail-oriented, discreet, and comfortable handling confidential information. The successful candidate should have a strong understanding of administrative compliance processes, excellent written and verbal communication skills, and the ability to coordinate with internal teams, candidates, clients, legal representatives, and external service providers.
Key Responsibilities
Legal Compliance and Documentation
Maintain and organize legal, compliance, employment, contractor, client, and business documentation.
Review documents for completeness, accuracy, proper signatures, dates, and required supporting information.
Support the preparation, distribution, tracking, and storage of employment agreements, service agreements, confidentiality agreements, compliance forms, and other legal documents.
Monitor document expiration dates, renewal requirements, certifications, licenses, and compliance deadlines.
Maintain compliance trackers, checklists, logs, and status reports for assigned processes.
Follow applicable company policies, legal procedures, data protection requirements, and document retention standards.
Escalate missing information, potential compliance concerns, inconsistent records, and legal issues to the appropriate manager or legal representative.
Candidate and Employee Onboarding
Coordinate end-to-end onboarding activities for new hires, contractors, and assigned personnel.
Collect and validate required identification, employment, tax, payroll, banking, background verification, and compliance documents.
Ensure onboarding requirements are completed accurately and within established timelines.
Prepare onboarding checklists, welcome materials, policy acknowledgments, agreements, and orientation schedules.
Coordinate with human resources, recruitment, payroll, operations, IT, management, and client teams to support a smooth onboarding experience.
Track onboarding progress and follow up with candidates, employees, managers, and stakeholders regarding outstanding requirements.
Communicate onboarding instructions, deadlines, policies, and next steps clearly and professionally.
Assist with offboarding, contract completion, access removal, clearance, and final documentation when required.
Background Checks and Verification
Coordinate background checks, employment verification, identity verification, reference checks, and other pre-employment screening activities.
Review verification results and confirm that required checks are completed according to company and client requirements.
Maintain accurate records of screening status, findings, approvals, and follow-up actions.
Handle sensitive information with confidentiality and follow applicable privacy and data protection procedures.
Communicate verification delays, discrepancies, or adverse findings to authorized personnel for review.
Work with approved vendors and external partners to resolve documentation or verification issues.
Compliance Monitoring and Risk Management
Support periodic audits, internal reviews, compliance assessments, and client documentation requests.
Monitor compliance requirements related to employee records, contracts, onboarding, client accounts, and operational procedures.
Identify gaps, inconsistencies, expired documents, and process risks and recommend appropriate corrective actions.
Assist in updating compliance policies, standard operating procedures, templates, forms, and internal guides.
Maintain an organized record of compliance incidents, corrective actions, approvals, and resolution status.
Stay informed about relevant legal, regulatory, employment, privacy, and business compliance requirements.
Refer legal interpretation, disputes, investigations, and high-risk matters to qualified legal counsel or authorized management.
Records Management and Reporting
Maintain accurate employee, contractor, client, legal, and compliance records in approved systems and secure storage locations.
Apply consistent naming conventions, filing procedures, access controls, and document retention practices.
Update HR information systems, applicant tracking systems, compliance databases, spreadsheets, and document management platforms.
Prepare regular reports on onboarding completion, documentation status, compliance deadlines, screening results, and outstanding requirements.
Provide accurate documentation and status updates to management, clients, auditors, and authorized internal teams.
Maintain confidentiality and restrict access to sensitive personal, legal, employment, and business information.
Communication and Team Collaboration
Serve as a reliable point of contact for onboarding, documentation, compliance, and administrative inquiries.
Respond to questions from candidates, employees, clients, managers, and external partners in a timely and professional manner.
Coordinate with recruitment, human resources, operations, finance, payroll, legal, information technology, and leadership teams.
Participate in process improvement projects, team meetings, training sessions, audits, and compliance reviews.
Provide guidance on required forms, documentation standards, onboarding steps, and internal procedures without providing unauthorized legal advice.
Identify opportunities to improve onboarding efficiency, documentation accuracy, compliance visibility, and stakeholder experience.
Qualifications
Bachelor’s degree in legal studies, business administration, human resources, compliance, public administration, or a related field is preferred.
At least 1 to 3 years of experience in legal administration, compliance, human resources, employee onboarding, contracts administration, background screening, or a related role.
Experience supporting US-based employees, clients, business operations, or regulatory requirements is an advantage.
Strong understanding of document control, compliance tracking, onboarding procedures, confidentiality, and administrative processes.
Excellent written and verbal communication skills with the ability to prepare clear, accurate, and professional correspondence.
Strong attention to detail and the ability to identify missing, inconsistent, incomplete, or inaccurate information.
Ability to manage confidential personal, employment, legal, financial, and business information responsibly.
Familiarity with employment documentation, contracts, background checks, data privacy, records management, and compliance procedures is preferred.
Experience using HRIS platforms, applicant tracking systems, document management tools, electronic signature platforms, CRM systems, spreadsheets, or compliance software.
Strong computer skills, accurate data-entry ability, and proficiency with Microsoft Office or Google Workspace applications.
Highly organized, dependable, self-motivated, and able to manage multiple deadlines and priorities.
Ability to work independently while collaborating effectively with cross-functional teams.
Strong problem-solving, follow-up, time-management, and process coordination skills.
Professional judgment and the ability to escalate sensitive, complex, or potentially high-risk matters appropriately.
Ability to work US business hours, night shifts, weekends, holidays, or changing schedules as required by the account.
